This role is responsible for order processing and coordination for the entire sales team, ensuring quotations, order confirmations, payment follow-ups, and production coordination run smoothly end to end.

Key Responsibilities

• Generate accurate and timely quotations for customer enquiries.
• Prepare Order Confirmations (OC) in line with agreed commercial and technical terms.
• Follow up on customer payments in coordination with the sales team.
• Coordinate with the factory/production team on order execution and delivery updates.
• Support the sales team with documentation and internal coordination.
• Take ownership of order processing and coordination for the entire sales team, acting as the central point of contact across quotations, OCs, and dispatch follow-ups.

Skills & Qualifications

• Graduate in any discipline; a background in engineering, commerce, or business administration is a plus.
• 3–5 years of experience in sales support, back-office operations, or order processing, ideally in an industrial or manufacturing environment.

KEY FUNCTIONS & RESPONSIBILITIES

Recruitment & Sourcing

• Understand hiring requirements from department heads (Marketing, Sales, Quality, Production, Purchase, Engineering, HR) and translate them into clear job requirements
• Source candidates through job portals (Naukri, LinkedIn, Indeed), employee referrals, consultancies, and campus/local hiring channels as relevant to each function
• Screen resumes and conduct first-level telephonic/video screening to assess fit
• Maintain a healthy, active candidate pipeline for recurring or high-volume roles (e.g., production, sales)

Interview Coordination

• Schedule interviews between shortlisted candidates and respective department heads/panel
• Coordinate interview logistics (timing, mode, panel availability, venue if on-site)
• Follow up with candidates and interviewers to ensure timely feedback and closure
• Maintain an updated tracker of candidate status across all open positions

Offer & Documentation

• Support offer discussions and roll out offer letters in coordination with the Founder/Owner

Onboarding

• Plan and execute Day 1 onboarding — welcome kit, workstation/tools readiness, introductions

• Ensure new hires complete required documentation (offer acceptance, ID creation, statutory forms, etc.) within defined timelines

Employee Engagement & Nurturing

• Conduct periodic check-ins with new employees during the probation period (30/60/90-day check-ins)
• Support planning and execution of basic engagement activities (celebrations, team activities, festival events, etc.)
• Act as a first point of contact for employee queries related to policies, leave, attendance, and general HR matters
• Escalate and support resolution of basic employee grievances, keeping the Founder/Owner informed on sensitive matters

HR Coordination & Reporting

• Maintain recruitment MIS — open positions, time-to-fill, source effectiveness, offer-to-joining ratio
• Maintain employee records and update HR trackers/databases regularly
• Provide weekly/monthly hiring status reports to the Founder/Owner

SKILLS REQUIRED

• Proven experience in end-to-end recruitment (sourcing to onboarding), ideally across both white-collar (Sales/Marketing/Engineering) and blue-collar/technical (Production/Quality) hiring
